How to Create a Contact
Congratulations, you created your first client account! You may have noticed when creating the account, that you were never prompted to submit a first name, last name or email address. The reason for this is because email addresses are associated with contacts.
In this section, we are going to cover contacts. We will create a new contact and edit contacts. Let’s take a look at the contacts area.
Contacts are nestled in the accounts page, because it is typical for an account to have multiple contacts. From the account page we navigate over to contacts and we can look at an existing contact. You will notice that the contact page for that individual has similar characteristics as the account page — contact information, software details, history, etc.
Something to note is that each account should have a designated ‘Key Contact’ and ‘Invoice Contact’. The Key Contact is the decision maker on this account. Also, this is the person who will sign the contract agreement for their software service. The Invoice Contact is the individual who will receive all invoice notifications and anything related to billing.
Activity
Let’s create a new contact.
- Navigate to the account you created in the last activity.
- Click ‘Contact’ in the Quick Links Box and then click ‘New’ to create a new contact
- Select ‘Client Contact’ for the record type
- Input the ‘First Name’ and ‘Last Name’ — Use a favorite tv, movie, or singer
- Ensure that the ‘Account Name’ is the account you created in the last activity
- Insert an ‘Email’ address for you contact — firstname+lastname@uostraining.com
- Select ‘Save’.
Now that you have successfully created your first contact, let’s make them the Key Contact and the Invoice Contact on your account.
Activity
1. Navigate back to your account page
2. Locate the field ‘Key Contact’ and click the grey pencil icon
3. Begin typing the name of the contact you recently created and select them as the key contact
4. Select the same contact for ‘Invoice Contact’
5. Save
Great job! You have successfully created a new contact and learned how to assign an individual as the Key Contact and Invoice Contact. Next we are going to take a look at leads.
