Client communications

This section will explain the communications that a client will receive in the weeks before and after the upgrade occurs. All email content, timing, and frequency is subject to change based on learning and feedback to provide the best client experience as we prepare for upgrade.

Upgrade Call Campaign for Domestic Clients

The Client Success Team is conducting an Upgrade Call Campaign to drive awareness of resources, webinars, and answer any questions the client may have. Here are a few things to know about this campaign:

  • The Upgrade Call Campaign will apply to domestic clients only. PI recommends that international partners reach out to their clients in advance of their upgrade date to ensure they are prepared.
  • PI will call domestic clients roughly two weeks ahead of their upgrade. 
  • We are NOT calling more than once. 
  • We are NOT reaching out via social media, i.e. LinkedIn
  • If we leave a voicemail, PI will follow up via email with simple correspondence stating that we are trying to reach them.
  • Partners will be informed of any interactions PI has with their clients, and a follow up email with any recorded notes will be provided to both the client and the partner following those interactions. 
  • If the client requests a 1:1 demo, the partner is invited to attend. 
  • So far, this campaign has resulted in many 1:1 demos and a 30% increase in webinar attendance.

Upgrade Communications: Standard Process

In the standard upgrade process, the communications that users will receive will be dependent on their role and level of activity. Not every user will receive every email. This is meant to ensure the right users receive the right information at the right time.

Upgrade Communications: Standard Timeline

Below, you will find the copy contained in the emails that are sent to clients as a part of the standard upgrade process. They are in chronological order. Not every user will receive every email.

We also wanted to call out some specific differences in PI Hire:

  • More precise job targets will improve match quality and ultimately support better hiring decisions.
  • Shorter Job Assessments, cut from 90 to 20 behavioral items, will be faster to complete and equally scientifically predictive.
  • A simple 5-star scale “Fit Rating” will replace “Match Score,” making candidate fit easier to interpret.
  • Assessment links are now tied to specific jobs, reducing bias and ensuring consistent, job-relevant comparisons.
  • We removed M Score & Synthesis to reduce confusion and improve clarity in decision-making.

  • Delete any jobs you no longer need.
  • Move former employees into a former employee folder. They will be archived automatically upon upgrade (and your employee directory will reflect your current employees).

Yesterday, you received an email highlighting the required actions to take before your upgrade to PI2. 

With your upgrade, please be aware of the following changes to permissions and third-party access. 

In PI2, third-party users can create users and assign organization admin permissions, a feature that was previously unavailable in the software. Since you are not required to re-grant access to third-party users when you are upgraded to PI2, your current third-party users will automatically have access to this functionality. Learn more about these updated permissions.

If you have any concerns about this change, please terminate the third-party user access under the User Management tab before your scheduled upgrade to PI2. Learn more.

T120 Active Users is defined as users who have logged into their PI software within the past 120 days.

Upgrade Communications: Special Cases

While most clients will receive the standard upgrade process emails as detailed above, there are four special groups of clients who will receive their own unique email notifications:

  • Account pause clients
  • Clients whose upgrade has been delayed
  • New client users added during the upgrade
  • Clients using PI Hire and not PI Inspire
  • Behavioral Data Permissions cohorts (clients who used folders for permissions in Legacy)
